    Event Guest Registration Policy and Procedure

    Penn State Abington

    Effective 3/2/09

    Policy:

    All guests attending an event on campus must be registered by recording their name and address (at minimum).

    Procedure:

    1. Statement on the website
    The following general statement will be posted on the Web site:
    Guests must register for all classes or events on campus. All classes require pre-registration. Some events may require pre-registration before the event; other events will require sign-in at the event. Students, faculty and staff are excluded from the guest registration requirement.

    2. Registration requirement
    If the specific event doesn't already have pre-registration, the event planner will be required to set up a small table near the entrance with a sign and sign-in sheet (samples below) so that guests can register/sign-in. The table doesn't have to be staffed but should be in a clearly visible location.


    3. Keeping Documentation
    When guests register using the sign-in sheet, this sheet should be forwarded to the security office in the Rydal Building at the conclusion of the event. This information should be kept for a period of time (at the discretion of security) and then discarded.
